Tour Planning Consultation (The Consultant Role)
Needs Assessment Interview clients to understand their budget, travel style (luxury, adventure, cultural, family-friendly), preferred destinations, and special requirements (dietary, mobility, etc.).
Itinerary Design Create customized day-by-day travel plans, including flights, accommodation, transfers, activities, meals, and sightseeing. Use destination management software (e.g., Travefy, TESS) or manual tools.
Supplier Coordination Liaise with hotels, DMCs (Destination Management Companies), transport providers, guides, and activity operators to check availability, negotiate rates, and secure bookings.
Costing Quoting Calculate total package cost, apply appropriate markups, add taxes, and present a clear, professional quote to the client.
Booking Ticketing Issue flight tickets, hotel vouchers, activity confirmations, and travel insurance. Process payments via payment gateways or banking channels.
Post-Booking Support Handle changes, cancellations, refunds, and emergency assistance during the trip (e.g., rerouting due to weather or political issues).
Proactive Selling Use marketing insights to upsell travel insurance, excursions, room upgrades, or pre/post tour extensions.
Cross-Selling Offer related products like travel accessories (luggage tags, adapters), local SIM cards, or airport transfers.
Loyalty Programs Design referral schemes ( Bring a friend and get 10 off ) or repeat-client discounts.
CRM Management Log all client interactions, preferences, and past bookings in a CRM (e.g., HubSpot, Zoho, Salesforce) to personalize future offers.
